For heavy machinery operations, you’ll want an employee certification and credential management platform that does more than store documents — it should track expiration dates, send renewal alerts, and ideally prevent scheduling or site access when required qualifications are missing.
Platforms commonly used for this include:
Platform
Useful features for heavy equipment certification tracking
SALUS Safety
Built for construction safety workflows; tracks worker certifications, expiry dates, credential records, and can connect certifications to jobsite readiness workflows.
WorkSafe by WorkSkedge
Tracks employee certifications, stores certificate files, sends expiry warnings, and can validate required certifications at sign-in.
Audit reports: quick proof of compliance for inspections or customers.
Integration with scheduling/access control: ideally, an expired certification should trigger a warning or block assignment to restricted work.
If this is for a construction, manufacturing, logistics, or utility operation, I’d narrow the shortlist differently because the best fit depends on whether you need just HR compliance tracking or actual equipment-operation authorization controls.

If your main goal is preventing employees from operating heavy machinery with expired qualifications, I’d look for certification software that does more than send renewal reminders—it should tie certifications to specific roles/equipment and work authorization.
A few options worth evaluating:
HCSS HeavyJob Safety — specifically supports heavy-equipment operator qualifications, tracks expiration dates, and sends automated alerts to employees and safety managers.
SALUS Safety — geared toward construction and field operations; it tracks certifications and can connect credentials to equipment, permits, and work-readiness workflows.
WorkSafe — tracks certifications such as skid-steer and heavy-vehicle qualifications, provides expiry alerts, and can warn or block workers at site sign-in when required credentials are expired.
FireFlight — tracks forklift licenses, OSHA training, permits, and role-specific credentials, with real-time status available to scheduling.
For your particular use case, HCSS or SALUS are the two I'd investigate first because they're oriented toward construction/heavy-equipment operations rather than generic HR credential tracking.
The key feature to verify in a demo is: “Can the system prevent or flag assignment to a piece of equipment when the employee's required qualification is expired?” An expiration email alone isn't the same as operational enforcement.
iSpring LMS : A learning management system that includes an intelligent re-enrollment and tracking feature to monitor certificate expiration dates and automatically reassign safety courses before a lapse occurs.

A platform in this category is usually called employee certification tracking, credential management, or learning/compliance management software. For heavy machinery operations, you want one that can track each worker’s certifications (for example, forklift, crane, excavator, OSHA, or equipment-specific qualifications), store proof documents, send expiration alerts, and ideally prevent assignment to equipment when a credential is expired.
Some platforms to consider:
AG5 — Focuses on workforce skills and “license-to-operate” tracking, linking certifications and qualifications to machines, processes, and roles. It is designed for frontline operations where knowing who is qualified to operate what matters.
SALUS Safety — Built for construction and field operations, with worker profiles, certification expiry alerts, and connections between credentials and work activities/equipment readiness.
WorkSafe — Tracks certifications with expiry dates, stores certificate files, provides reminders, and can validate required certifications during worker sign-in workflows.
CertTracker — A simpler certification tracking option with employee records, document uploads, expiration reminders, and compliance reports.
ExpiryEdge — Provides a qualification matrix showing who is certified, what is expiring, and who is currently eligible for specific work.
For a company operating heavy equipment, I’d prioritize these features:
Equipment qualification mapping — e.g., “John Smith → Forklift → expires March 2027.”
Automatic alerts — reminders 90/60/30 days before expiration.
Expired-certification flags or work gating — prevent scheduling an operator whose credential is no longer valid.
Mobile access — supervisors can verify credentials on a job site.
Audit reports — quick proof for OSHA, customer, or insurance reviews.
If you already use an HR system (like an HRIS) or a maintenance/scheduling system, the best fit may be a certification module that integrates with it rather than a standalone tracker.
To track employee credentials, heavy machinery licenses, and safety qualifications, organizations typically use specialized EHS (Environment, Health, and Safety), construction operations , or compliance-focused Learning Management Systems (LMS).
Platforms built specifically for heavy industries, equipment safety, and workforce compliance include:
Enterprise Learning & Compliance Suites: Platforms like Docebo Certification & Retraining App, iSpring LMS , or Cornerstone OnDemand are widely used to automate re-enrollment, track exact certification expiration dates, and maintain audit-ready training records [1.1.].
Operations & Database Trackers: Flexible platforms like Quickbase Training Management Software allow teams to build custom dashboards that flag expiring credentials and restrict scheduling if an employee's certification lapses.
If you're looking for a recommendation tailored to your setup, tell me:
Is this for construction, manufacturing, warehousing, or another industry?
Do you need mobile field access for supervisors to check licenses on-site?
To track employee certifications, licenses, and heavy machinery qualifications, organizations typically use Learning Management Systems (LMS) with robust compliance tracking or specialized EHS (Environment, Health, and Safety) / Workforce Compliance platforms.

If your goal is specifically to prevent someone from operating heavy machinery with an expired certification, I’d look at a workforce safety/compliance platform, rather than a generic HR system.
SALUS Safety — strong fit for construction/heavy equipment. It tracks worker certifications, expiry dates, equipment-related credentials, and can connect credentials to permits and jobsite access.
WorkSafe — particularly relevant if you need active enforcement: it can alert supervisors when an expired required certification is detected at sign-in and can block or warn the worker.
FireFlight — tracks forklift licenses, OSHA training, permits, and role-specific credentials, with expiration alerts and scheduling visibility.
Paycom — a broader HR platform with certification management, expiration notifications, document uploads, approvals, and reporting.
For your particular use case, I'd shortlist SALUS Safety or WorkSafe. The important feature isn't merely an expiration reminder; it's the ability to associate a certification with a specific job/equipment authorization and prevent or flag an employee from working when the credential is no longer valid.
If you tell me roughly how many employees you have and what equipment/certifications you need to track (forklifts, cranes, excavators, CDL, OSHA, etc.), I can narrow it down to the best 2–3 platforms and compare pricing/features.
If you mean a platform specifically for preventing unqualified employees from operating equipment, a few strong options are:
SALUS Safety — particularly relevant for construction. It tracks worker certifications, sends expiry alerts, and can connect credentials to equipment, permits, and work-gating workflows.
AG5 — built around workforce qualification/“license-to-operate” management. It can link certifications and skills to specific machines, processes, and roles, making it a strong fit for heavy-equipment operations.
HSI Donesafe — broader EHS/compliance platform that tracks worker licenses and certifications and supports controls intended to prevent someone from performing a job without a valid credential.
WorkAware — provides qualification requirements by role, expiration tracking, automated reminders, and dashboards showing whether workers are currently qualified.
For your specific use case, I'd shortlist AG5 and SALUS first. If the key requirement is “an employee's forklift/crane/heavy-equipment certification expires → the system immediately flags them as unauthorized for that equipment,” look for role/equipment-based qualification rules, not just a basic certification-expiration calendar.
If you tell me your industry (construction, manufacturing, warehouse, etc.), I can narrow this to the best 2–3 platforms and compare pricing/features.
Top platforms suited for heavy equipment and high-risk operations include:
