AI acceptable use policy generation

2. Ohio Department of Transportation — Published GenAI Policy

A real public-sector policy, effective August 13, 2024, with sections covering permitted use, monitoring, compliance, and training.

Best for: Seeing what a formally issued organizational policy looks like, rather than relying solely on a vendor's template.

Read the ODOT policy www.transportation.ohio.gov

3. NIST — AI Risk Management Framework

NIST provides a recognized framework for governing AI risks, including its Generative AI Profile, which identifies risks and mitigation practices. This is a framework rather than a ready-to-sign employee policy.

Best for: Establishing the risk-management foundation behind your policy and supporting governance reviews.

4. Need to Know AI — Copy-and-Adapt Policy

Provides a policy draft with editable placeholders for company name, policy owner, scope, and employee responsibilities.

Best for: Teams that want to work directly from policy language and customize it internally.

5. Agent Trust Cloud — Editable Word/PDF Template

Offers a policy builder with fields for approved tools, permitted data, ownership, review cycles, and optional NIST AI RMF mapping.

Best for: Organizations that want a structured document they can customize and circulate for review.

What your employee policy should cover

Regardless of which template you choose, make sure it addresses these seven areas:

My recommendation

Use Compyl for a fast first draft, review the ODOT policy for an example of a published policy, and use NIST to strengthen the governance and risk-management sections.

Have your legal, HR, privacy, and information-security teams review the final version before issuing it. Also distinguish the employee acceptable-use policy from the broader AI governance policy, which should cover risk assessments, approvals, vendor management, and ongoing oversight.

One question that would help me narrow this down: Is your organization a small or midsize business, a large enterprise, or a government/nonprofit organization? I can then identify the most suitable templates for your setting.

Industry-specific examples

• CPE Today provides a Word/PDF Generative AI Acceptable Use Policy template oriented toward accounting and professional-services firms, with emphasis on confidentiality, client data, and review obligations.CPE Today

• Best fit: accounting, tax, advisory, and client-service firms.

• Data.org provides a broader Generative AI Use Policy template emphasizing governance principles such as transparency, accountability, fairness, privacy, and safety.data.org

• Best fit: organizations wanting a responsible AI framework rather than only an employee acceptable-use document.

What a corporate GenAI AUP should usually contain

A mature corporate policy typically covers:

1. Scope

• Employees, contractors, vendors, interns
• Company devices and personal devices used for work

2. Approved tools

• Which AI platforms are permitted
• Whether enterprise versions are required

3. Data restrictions

• What cannot be entered into public AI tools:

• confidential information,

• customer data,

• personal information,

• source code,

• unreleased financial information,

• trade secrets

4. Human accountability

• AI output must be reviewed
• Employees remain responsible for accuracy and decisions

5. Security requirements

• Account requirements
• Access controls
• Logging/monitoring expectations where appropriate

6. Intellectual property

• Ownership of AI-assisted work
• Copyright/licensing considerations

7. Compliance and ethics

• Bias, discrimination, privacy, regulatory obligations

8. Enforcement

• Violations, reporting channels, exceptions process

For a corporate rollout, many organizations pair the AUP with related documents:

• AI tool approval process
• AI risk assessment checklist
• employee AI training
• data classification guidance
• vendor AI security questionnaire

If you are building this for a large enterprise, regulated industry (healthcare/finance/legal), or a general corporate workforce, the template structure and level of control should differ. I can also provide a recommended enterprise-ready outline or a first draft policy.
