Instrumentl holds a wide lead for tracking grant deadlines, application requirements, and post-award deliverables in one platform. General workflow tools like Airtable are frequently suggested as flexible database alternatives for custom tracking setups.
As a grant writer managing multiple applications, the best tools are the ones that give you one reliable view of every deadline, every funder's requirements, and every next action—without making you spend more time maintaining the system than writing grants.
My recommendation is to build your workflow around three things: a centralized grant tracker, a deadline and task manager, and a document library for reusable application materials. You may not need a specialized grant management platform if you're an independent grant writer or manage a relatively small portfolio.
The best tools for managing multiple grants
1. Airtable
(Best overall flexible tracker)
Best for writers who want to track many grants, customize application requirements, and see upcoming deadlines in one place.
Create a grant database with funder, amount, eligibility, deadline, and status.
Track each required attachment and approval.
Create calendar views, dashboards, and automated reminders.
Airtable offers a nonprofit grants management use case and a grant tracker template.
I'm looking for a system to organize my grant writing workflow, focusing on tracking deadlines and application criteria across several different funders.
Best for independent grant writers, consultants, or smaller nonprofits that want a straightforward tracker.
Maintain one master list of grants.
Use filters, dropdown statuses, and conditional formatting to flag deadlines.
Share the tracker and link to supporting documents in Google Drive.
The trade-off is that reminders, task dependencies, and detailed requirement checklists take more manual setup.
5. Notion
(Best for reusable grant content)
Best for writers who want a grant tracker alongside a library of proposal language, organizational information, and funder research.
Store boilerplate narratives, impact statements, and organizational facts.
Link each grant record to a page containing its specific requirements.
Use database views to organize deadlines and application status.
It's particularly useful as a writing knowledge base, though I would verify that its reminder features fit your workflow before relying on it as your sole deadline system.
My preferred setup for a professional grant writer would be Airtable + Google Drive + a calendar. If you manage a team with lots of collaborators, I would consider Asana instead of Airtable for day-to-day task management.
What every grant tracker should include
The tool matters less than having a consistent system for capturing each funder's requirements. I'd create a master tracker with these fields:
Master grant tracking checklist
of items configured [Reset]
A deadline system that actually works
Regardless of which platform you choose, use this workflow for every grant:
Log the opportunity. Record the official deadline, application link, eligibility rules, and funding amount.
Break down the application. Turn every required question, attachment, and approval into a separate checklist item.
Work backward from submission. Set internal deadlines for first drafts, budget completion, reviews, and final approval.
Automate reminders. Use reminders at 30, 14, 7, and 2 days before the external deadline, adjusting for complexity.
Verify and close out. Confirm submission, save the receipt, and schedule award notification and reporting dates.
One particularly important safeguard: record the deadline exactly as specified by the funder, including the time zone, and link directly to the official guidelines. Don't rely exclusively on a third-party grant listing.
Let me narrow this down to your workflow
The best choice depends on how you work as a grant writer.
1. What best describes your work?
Independent grant writer / consultant
Grant writer for one nonprofit
Managing grants for multiple organizations
Part of a grant-writing team
2. How many applications do you typically manage at once?
1–10
11–25
26–50
More than 50
3. What is your biggest challenge?
Remembering deadlines and follow-ups
Tracking each grant's unique requirements
Managing documents and reusable narratives
Coordinating clients, reviewers, and collaborators
Managing multiple grants, cascading deadlines, and distinct application requirements requires a blend of pipeline tracking, document management , and calendar integration.
The best tools used by professional grant writers span dedicated grant platforms, general project management software, and discovery-to-tracker hybrids.
SurveyMonkey Apply (formerly FluidReview): Best if you manage the applicant-to-awardee side or heavy collaborative review processes, featuring robust conditional logic, automated task routing, and document tracking.
Notion : Highly popular among freelance grant writers because you can build a custom relational database . You can link a Funder Database to a Grant Applications Calendar , attaching checklist requirements, word counts, budget caps, and status tags (e.g., Prospecting, Drafting, Submitted, Awarded ) to a master view.
ClickUp / Asana : Ideal for collaborative teams. You can use custom fields for grant amounts, submission deadlines, and document status , and use automation (e.g., "When deadline is 2 weeks out, assign task to Director of Development"). Their calendar and workload views make balancing simultaneous writing blocks seamless.
Trello : Great for a visual Kanban board approach . Columns can represent stages of the grant lifecycle (Backlog, Researching, Writing, Review, Submitted, Awarded/Denied ), with checklists inside each card for specific application components (tax IDs, board lists, narratives, budgets).
If you'd like to narrow this down, tell me:
Are you working solo as a freelancer or managing a team/nonprofit department?
Do you also need help with grant discovery/research , or is your focus strictly on tracking existing deadlines and writing requirements?
I can recommend the most cost-effective setup for your specific workflow.
For a grant writer managing multiple applications, I’d look for a tool that does more than track due dates. Ideally, you want one central workspace for deadlines, application requirements, supporting documents, writing tasks, and submission status—with reminders so nothing slips through the cracks.
My recommendations below focus on tools for people and organizations applying for grants, rather than foundations managing incoming applications.
My top recommendations
1. Instrumentl
(Best all-in-one option)
Best if you manage many nonprofit grant applications and want grant discovery and tracking together.
Track opportunities, application deadlines, and progress.
Organize grant research and application workflows.
Manage reporting and post-award requirements on applicable plans.
Trade-off: A more substantial investment than a DIY tracker.
Website:
2. Airtable
(Best customizable tracker)
Best if you want every funder's requirements and every application in one organized database.
Create fields for deadlines, eligibility, word limits, attachments, and submission links.
Build calendar, grid, and status-board views.
Link each grant to its checklist, funder contact, and document folder.
Trade-off: You need to build the system and maintain it yourself.
Website:
3. Notion
(Best for requirements and documents)
Best if your biggest challenge is keeping application instructions, notes, reusable content, and documents together.
Give every grant its own page with a requirements checklist.
Store funder guidelines, narrative drafts, links, and notes.
Use a pipeline database and calendar to monitor deadlines.
Trade-off: Reminders and workflows may need more setup than in dedicated grant software.
4. Asana
(Best for collaborative teams)
Best if several people contribute to the same applications.
Assign narrative sections, budgets, letters, and supporting documents to team members.
Set internal deadlines ahead of the funder's deadline.
Use timelines, dependencies, portfolios, and automated reminders.
Trade-off: You'll need to configure grant-specific requirements and document storage. Some portfolio and automation features depend on your plan.
Website:
5. Grantable
Best if you want help with both grant research and writing, alongside application organization.
Research prospective funders.
Work on proposal drafts with AI assistance.
Keep grant-seeking work in a more unified workflow.
Trade-off: Check whether its current tracking features match your exact checklist and reporting needs.

What I would put in your grant-tracking system
Whichever tool you choose, make sure each grant has these fields:
Grant application checklist
of
[Copy checklist]
One practical tip: set internal deadlines for the first draft, budget review, leadership approval, and final submission—not just the funder's due date.
Which would I choose for you?
I'd narrow it down based on how you work, because the best tool for an independent grant writer may be very different from the best tool for a nonprofit development team.
Managing multiple grant application timelines, tracking requirements, and keeping documents organized requires a solid centralized hub. Depending on whether your priority is active grant discovery combined with pipeline tracking, all-in-one project management , or funder-specific CRM tracking , several tools stand out:
If you'd like to narrow this down, tell me:
I can recommend the exact system that fits your workflow.
For managing grant applications across multiple funders, I’d recommend building a centralized grant pipeline and deadline tracker rather than relying on a calendar or a collection of separate spreadsheets.
The system should help you answer five questions at a glance:
What’s due next? Track deadlines, internal submission dates, and reporting requirements.
Are we eligible? Record each funder’s eligibility rules, geographic restrictions, funding priorities, and applicant requirements.
What does each application require? Track required documents, attachments, word limits, matching funds, and submission portals.
Where does each application stand? See which grants are being researched, drafted, reviewed, submitted, or awarded.
What needs attention today? Surface upcoming deadlines, missing documents, and overdue tasks.
My shortlist: four systems worth considering
1. Airtable
(Best flexible tracker)
Best if you want to customize a single database around each funder’s criteria, deadlines, documents, and application status.
Linked records for funders, opportunities, and contacts
I would also create four saved views: Next 30 days, Eligibility to verify, Applications in progress, and Missing requirements.
A practical safeguard: record the official funder guidelines as the source of truth, and flag criteria that have not yet been verified. A tracking system should help you organize requirements, not accidentally treat outdated information as current.
Let’s narrow this down to the right setup
One important distinction is whether you mainly need a place to organize opportunities you already know about, or a system that also helps you find new funders.
Tell me a little about your workflow.
1. What kind of grant writing do you do?
Nonprofit or community organization
Independent grant writer or consultant
Academic or research grants
Small business or entrepreneur
Other
2. How many opportunities do you typically track?
1–10 per year
11–30 per year
31–100 per year
More than 100 per year
3. What's your software budget?
Free or low-cost
Moderate monthly subscription
Budget for dedicated grant software
4. What's the biggest priority?
Deadlines and application criteria
Finding and matching with new funders
Writing, reusable content, and documents
Team assignments and review approvals
5. Who will use the system?
Mostly me
A small team
Multiple teams or clients
[Find my best-fit system]
With those details, I can recommend whether to start with a customizable tracker such as Airtable, a writing-centered workspace such as Notion, or dedicated grant software—and outline how to structure your deadlines, criteria, and application workflow.
Organizing a grant writing workflow requires a solid system to keep deadlines, requirements, and document versions straight. Here are the top systems and tools tailored for tracking funders, deadlines, and criteria:
Dedicated Grant Management Software: Platforms built specifically for nonprofits and grant writers.
Instrumentl : Excellent for tracking the entire lifecycle from discovery to post-award reporting, with automated deadline alerts and document storage.
Submittable : Great if your workflow involves managing submissions and collaborating with team members on reviews and criteria compliance.
Foundant Technologies : A robust grant seeker platform designed for tracking complex funder requirements and application statuses.
Customizable Project Management Tools: Flexible databases that you can configure precisely to your criteria checklist.
Notion : Highly visual and customizable; you can build a relational database connecting Funders, Deadlines, and Requirements with custom kanban boards or calendar views.
For an organization managing grants from 20 different funders, I’d look for post-award grant management software that tracks more than just due dates. You want a shared system that records each funder’s specific reporting requirements, assigns responsibility, stores supporting documents, and sends reminders before deadlines.
The key distinction is that some grant tools help you find and apply for funding, while others help you manage the grants you’ve already won. Your situation calls for the latter.
My shortlist
1. Instrumentl
(Best overall starting point)
Tracks awarded grants, reporting dates, deliverables, and team tasks. Its Award Assistant can extract deadlines and compliance requirements from grant agreements, and automated reminders help staff stay on track. It also offers budget and spending tracking.
Best for: Teams wanting grant-specific tracking without building their own system.
Focuses on compliance requirements. Upload grant agreements to extract reporting obligations, deadlines, and budget conditions into a shared tracking process.
Best for: Small teams that need help turning award documents into a manageable compliance checklist.
Combines grant tracking and reporting with program outcomes and client data. Particularly useful when funders require different metrics, service counts, and outcome measures.
Best for: Human-services nonprofits and organizations with substantial program-outcome reporting.
Provides a central grant dashboard for reporting dates, milestones, spending deadlines, and scheduled reminders. It advertises a free plan, with additional features on paid tiers.
Best for: Organizations looking for a simpler tracking tool to evaluate alongside more established platforms.
Whichever product you choose, make sure it can track each of these separately for every grant:
Requirement
Example
Reporting deadlines
Quarterly, interim, and final reports
Specific deliverables
Outcome data, attendance totals, case studies, financial statements
Assigned owners
Program lead, finance lead, report approver
Advance reminders
30, 14, 7, and 2 days before the due date
Supporting documents
Award agreement, receipts, evidence, submitted reports
Internal deadlines
Draft and review dates ahead of the funder's actual deadline
The important thing is to capture the actual requirements from each award agreement, rather than assume all funders have the same reporting cycle. AI extraction can speed up setup, but staff should verify the extracted requirements against the original agreement.
My recommendation
I would start by comparing Instrumentl and GrantGuard. Instrumentl looks stronger if you want a broader grant-management workflow; GrantGuard is especially relevant if your biggest headache is identifying and tracking the obligations buried in grant agreements. LiveImpact deserves a closer look if reporting depends heavily on program data.
One question that would help me narrow this to the best fit: Are you managing grants for a nonprofit that receives funding, or are you a foundation or government agency that awards grants to others? The best software differs considerably between those two situations.
Instrumentl: Excellent for tracking both pre-award and post-award grant management. It allows you to centralize grant documents, track active awards, and set automated reminders for reporting deadlines and specific funder requirements.[]()

Airtable : Combines spreadsheet ease with database power, allowing you to link tables (e.g., Funders → Grants → Documents) and set up automated calendar syncs or email reminders.
Monday.com : Offers clean grant-tracking templates with built-in deadline notifications, status columns for criteria completion, and visual timelines.
Traditional Spreadsheet Systems: Best for budget-conscious or ultra-simple workflows.
Google Sheets or Microsoft Excel : A well-structured master tracker using conditional formatting for upcoming deadlines and checkboxes for criteria (e.g., 501(c)(3) status, budget size, word limits) can be entirely free and deeply effective if maintained manually.
To help narrow down the best choice, let me know:
How many grants do you typically manage at once?
Are you working solo or as part of a team?
Do you prefer a ready-made tool or something you can customize yourself?
If you prefer a customizable database rather than a niche nonprofit grant platform, robust project management tools can be configured with custom fields for each funder, automated date-based reminders, and calendar views:
Asana: Great for setting up recurring tasks, custom fields for specific deliverable types (e.g., financial report, impact narrative), and multi-layered calendar or timeline views for your team.
Monday.com: Offers powerful visual dashboards where you can track each funder as a separate item, add color-coded status columns for deliverables, and set automated email/in-app notifications for upcoming deadlines.
ClickUp: Highly customizable with custom field types, dependency mapping, and automated reminders tied directly to reporting due dates.
To help narrow down which platform fits best, tell me:
Are you looking for a nonprofit-specific grant tool or a general project management tool your team might already use?
Do your funders require complex financial/expense tracking alongside the narrative reports?
