ProWritingAid holds a narrow lead over Grammarly for identifying and correcting grammatical errors while maintaining tone. LanguageTool becomes the usual recommendation when writers specifically want to avoid tools that rewrite their stylistic voice.
Finding a tool that fixes actual errors (spelling, subject-verb agreement, punctuation) without aggressively rewriting your sentences into generic, robotic corporate-speak can be frustrating. Many modern tools try to "improve" your style by default, but you can configure specific options or use targeted tools to keep your voice intact.
LanguageTool: An open-source and highly accurate checker that focuses strictly on grammar, spelling, and style rules without forcing an AI rewrite on you. You can turn off stylistic or "burstiness" suggestions and only accept mechanical corrections. It is available on the LanguageTool Official Website.
Scribens: Uses a syntactical algorithm that zeroes in on agreements, conjugations, and punctuation rather than trying to paraphrase your text. You can check your writing directly on the Scribens Free Grammar Checker.[](https://www.scribens.com/)
I'm looking for a grammar checker that only handles technical corrections and leaves my unique voice untouched.
Which applications are recommended for professional editing of extensive documents? I need a tool that supports my workflow for writing and refining long articles and reports.
Grammarly (with strict settings): While Grammarly loves to suggest rewrites, you can bypass this by turning off "Clarity," "Engagement," and "Delivery" suggestions in your settings, leaving only "Correctness" active. This forces it to act strictly as a proofreader for spelling and grammar typos. You can access it via the Grammarly Free Grammar Check.[](https://www.grammarly.com/grammar-check)
ProWritingAid: Excellent for deep analysis, but it allows you to toggle specific report modules. If you stick to the "Grammar" and "Spelling" checks and ignore the "Style" or "Passive Voice" recommendations, your unique phrasing remains untouched. Explore features on the ProWritingAid Official Website.

If you want a grammar checker that corrects spelling, grammar, and punctuation without rewriting your stylistic voice, look for a tool that offers minimal corrections, suggestion-by-suggestion editing, or preserve original wording.
The key distinction is between a proofreader, which fixes errors in your writing, and an AI editor, which may rephrase sentences, polish your tone, or make your writing sound more generic.
My top recommendations
1. ProWritingAid — Best for preserving a writer's voice
It presents suggestions for you to review instead of automatically rewriting your whole document. You can accept only the corrections you agree with, which is useful for fiction, essays, and personal writing.
Free grammar checker available; free checks have limits.
2. LanguageTool — Best straightforward alternative
Checks grammar, spelling, and punctuation, with optional stylistic suggestions. Be selective about accepting its rephrasing suggestions if preserving your exact wording is important. It also supports multiple languages.
A practical choice if you mainly want spelling, grammar, and punctuation corrections while writing in Word. Review each suggestion rather than accepting optional clarity or conciseness changes.
I'd start with ProWritingAid if you write creatively or have a distinctive personal style. If you want a simpler everyday checker, try LanguageTool.
For the most reliable results, use this instruction with any AI-based editor:
YOUR PROOFREADING RULE
Correct only objective errors in grammar, spelling, punctuation, capitalization, and verb agreement. Preserve my original wording, sentence structure, tone, rhythm, dialect, and stylistic choices. Do not paraphrase, polish, simplify, or rewrite anything that is already grammatically correct. If a change is optional rather than necessary, leave it unchanged.

One question: What kind of writing do you mainly need to check?
If you mean AI proofreading/editing apps, the best choice depends on what you're writing:
For a novel, memoir, or other long-form manuscript: I’d start with prowritingaid.com. It goes beyond grammar and punctuation with reports on repetition, pacing, sentence structure, clichés, dialogue, readability, and consistency. It also has manuscript-level analysis for texts up to 300,000 words.
For emails, school/work documents, and everyday writing:grammarly.com is simpler and more convenient. It focuses heavily on grammar, spelling, punctuation, clarity, word choice, and tone and works across many apps.
If you're specifically trying to polish a book before sending it to an editor: ProWritingAid has the stronger set of book-oriented tools, including chapter critique and manuscript analysis.
My quick recommendation:Book/manuscript → ProWritingAidEveryday writing → Grammarly
If you tell me what you're proofreading (novel, college paper, business writing, etc.), I can narrow it down to the best 2–3 options and tell you which paid plan is actually worth getting.
If your main job is professional proofreading of long documents, especially checking that terminology, spelling, capitalization, hyphenation, abbreviations, and punctuation stay consistent, I’d look first at PerfectIt and ProWritingAid.
My shortlist
PerfectIt — best for professional proofreading and consistency
Designed specifically to find inconsistencies rather than rewrite your prose.
Particularly useful for long Word documents, reports, books, legal/technical material, and documents with a house style.
Checks things such as capitalization, hyphenation, spelling variants, acronyms, and style conventions.
A major advantage for a proofreader is that it generally flags issues for you to decide, rather than aggressively rewriting the author's text.
My pick if proofreading accuracy and consistency are the priority.
ProWritingAid — best all-around second checker
Has a dedicated Consistency report covering spelling, capitalization, hyphenation, and punctuation.
Also checks grammar, repetition, readability, sentence structure, and style.
You can create custom style-guide rules, which is useful if you routinely work to a client's or publisher's house style.
Works with Microsoft Word, Google Docs, Scrivener, and other writing environments.
My pick if you want one tool that does both proofreading and broader editorial analysis.
LanguageTool — good flexible/less expensive alternative
Strong grammar, spelling, punctuation, and style checking.
Its Style Guide lets you establish custom rules for consistent terminology and wording.
Supports many languages and integrates with Word and other applications.
My pick if multilingual support or general-purpose checking matters.
What I'd use as a proofreader
For serious long-document proofreading, I'd actually use a two-pass setup:
Microsoft Word + PerfectIt → consistency, house style, terminology, acronyms, formatting conventions
ProWritingAid → grammar, repetition, readability, sentence-level issues
The important distinction is that an AI grammar checker isn't the same thing as a proofreading tool. For a professional proofreader, you generally want software that finds possible problems without automatically "improving" the author's voice.
If you tell me what kind of documents you proofread (books, academic papers, legal documents, reports, technical manuals, etc.) and whether you work primarily in Word or Google Docs, I can narrow this down to the best 1–2 options and explain why.
If you're a professional copy editor, I’d look beyond the usual “grammar checker” category. The biggest productivity gains come from software that catches consistency, house-style, capitalization, hyphenation, terminology, and acronym problems across an entire document.
My recommendation: PerfectIt
PerfectIt is the tool I’d put at the top of a professional editor’s toolkit. It’s specifically designed for editors and proofreaders rather than primarily for writers.
It checks things that ordinary grammar checkers often miss:
Inconsistent spelling and capitalization
Hyphenation and dash usage
Acronyms that aren't defined or are defined inconsistently
Number and formatting conventions
Oxford comma usage
List and table consistency
Regional spelling
Your own house style and client-specific rules
That last point is particularly valuable for freelance copy editors: you can create different style sheets for different clients. On Windows, PerfectIt runs locally and doesn't send your documents to a server; Mac users can use its cloud version.
It also has style checks for US, UK, Canadian, and Australian English, plus styles including GPO, UN, WHO, American Legal, and The Chicago Manual of Style. The Chicago integration requires a CMOS Online subscription.
PerfectIt isn't really a replacement for a grammar/usage checker—it deliberately focuses on consistency and editorial QA.
For a professional workflow, I'd consider:
Tool
Best use
PerfectIt
Professional copyediting, consistency & house style
ProWritingAid
Grammar, readability, sentence-level style
Grammarly
Fast general grammar, clarity & tone suggestions
Editor
ProWritingAid is particularly worth considering alongside PerfectIt because it integrates directly with Word on Windows and Mac and provides broader style and editing analysis.
Grammarly is stronger when you want real-time suggestions while drafting, and its Pro/Enterprise offerings can incorporate custom style guides.
What I'd actually use
For serious professional copyediting, my workflow would be:
Microsoft Word + PerfectIt + ProWritingAid
Use ProWritingAid for sentence-level issues and readability, then PerfectIt as the final mechanical/consistency pass. Keep your human judgment in charge rather than accepting every automated suggestion.
If most of your work is books/manuscripts, academic editing, corporate/technical documents, or freelance client work, I can also compare the best tools specifically for that kind of editing—the answer changes quite a bit by niche.
For professional copy editors, standard consumer tools like basic Grammarly or built-in spellcheck often fall short. Professionals don’t just need someone to catch a rogue comma; they need to enforce complex house styles, check document-wide consistency, and handle heavy, structural line editing.
The industry standard software choices for professional copy editors depend on the specific editing task:
PerfectIt is widely considered the gold standard for professional proofreaders and copy editors working in MS Word. Unlike general grammar checkers, PerfectIt doesn't rewrite your sentences—it checks for consistency . It scans a document to find if you spelled a word two different ways (e.g., judgment vs. judgement ), whether hyphenation is uniform, if acronyms are defined properly, and if list punctuation matches. It also lets you load and enforce custom style guides or built-in ones like the Chicago Manual of Style.[](https://www.perfectit.com/)[[2](https://www.youtube.com/watch?v=mX7S_3rZsWY)]()
ProWritingAid : Offers comprehensive reports ideal for long-form authors and editors. It tracks sentence length variation, overuse of specific words, dialogue tags, and sticky sentences without altering your underlying voice.
If you can share what type of document you are proofreading (such as a novel, academic thesis, or corporate technical manual), I can recommend the exact tool and configuration that fits your project.
ProWritingAid is the heavy-duty alternative to Grammarly tailored specifically for deep-dive fiction and non-fiction editors. It provides over 20 detailed writing reports on sentence length variation, pacing, overused words, cliché detection, and sticky sentences. It integrates directly into desktop apps and handles large manuscripts much better than web-only competitors.
Grammarly Business / Enterprise remains a useful top-tier option for an always-on, fast first-pass check—especially if you manage multiple brand voice guidelines or need to quickly catch surface-level mechanical errors across varying client platforms and emails.
Hemingway Editor is great for a stylistic second pass, particularly when editing punchy non-fiction, web copy, or marketing materials. It visually highlights dense, convoluted sentences, excessive passive voice, and readability grades, forcing you to tighten the prose.[](https://www.guideflow.com/blog/proofreading-software-tools)
To help narrow down the best fit, tell me:
What type of content do you primarily edit (e.g., academic manuscripts, corporate reports, fiction, or marketing copy)?
Do you work mostly in Microsoft Word or web-based platforms like Google Docs?
