If your organization faces significant fines for failing to retain email for seven years, you should look for an enterprise email archiving platform with defensible retention policies, tamper-resistant storage, legal hold, and fast e-discovery — not just a backup service.
One important distinction: seven-year retention is not a universal requirement for every email or every regulated industry. The applicable rule depends on your sector, jurisdiction, and the type of records involved. The right solution should let you enforce the retention period your legal and compliance teams actually require.
Providers to evaluate
These are established options to consider, depending on your industry, email platform, and regulatory obligations.
Captures and archives business email and supports regulatory recordkeeping, supervision, and e-discovery. A strong candidate if you operate in financial services.
Offers email archiving options for organizations needing searchable retained communications, legal discovery, and integration with broader email security controls. Check which product tier meets your specific retention requirements.
Cloud archiving with searchable email retention and e-discovery capabilities; worth comparing if you want a managed service without running your own archive infrastructure.
A native option for retention, e-discovery, audit, and preservation controls. Microsoft documents assessed configurations supporting specific SEC, FINRA, and CFTC electronic recordkeeping requirements, but correct configuration and any separate third-party obligations remain your responsibility.
Before signing a contract, ask each provider to demonstrate these capabilities:
Seven-year retention: configurable policies, with protection against premature deletion.
Complete capture: inbound, outbound, internal email, attachments, and relevant metadata.
Immutable storage or compliant audit trails: depending on the applicable rule. For example, SEC Rule 17a-4 permits qualifying WORM storage or an alternative audit-trail approach.
Legal holds and e-discovery: preserve relevant records and export them quickly in usable formats.
Audit evidence: demonstrate that messages were captured, retained, and retrieved correctly.
Regulatory documentation: independent assessments, contractual commitments, and any required third-party undertakings.
The biggest factor is your industry and current email platform. Tell me these two things, and I can produce a more targeted shortlist with compliance fit, pricing considerations, and vendor links.
Strong option when email archiving needs to sit alongside broader compliance, supervision and security controls.
My recommendation
If you're already standardized on Microsoft 365, start with Microsoft Purview. It can retain Exchange email without moving users' mail into a separate archive, supports retention labels and records management, and integrates with eDiscovery/legal holds. Microsoft explicitly documents retention scenarios involving seven-year regulatory requirements.
There is an important distinction, though: an ordinary “7-year retention policy” isn't automatically the same thing as regulatory-grade archiving. For a regulated organization, I'd require:
Tamper resistance/immutability for the applicable records
Retention that administrators/users cannot casually shorten
Complete audit trail and reliable timestamps
Legal/investigative holds that override ordinary deletion
Search and bulk export in a regulator-usable format
Redundancy and disaster recovery
Controls covering departing employees
Documented chain of custody
Role-based access and separation of duties
Evidence that the actual configuration—not merely the vendor's marketing claim—meets your regulation
This matters particularly for financial services. Current SEC Rule 17a-4 requires applicable records to be preserved for specified periods and permits electronic systems using either WORM storage or a qualifying audit-trail approach, with automatic verification, redundancy, and the ability to produce records promptly in usable formats.
One subtle Microsoft point is worth flagging: retention of email and retention of audit logs are separate things. For example, Microsoft documents different default periods for Purview audit logs, with longer audit retention requiring appropriate licensing. learn.microsoft.com Don't assume that purchasing/configuring seven-year email retention automatically gives you seven years of every audit event.
How I'd choose
Financial services / broker-dealer:
Global Relay, Microsoft Purview, Mimecast, or Proofpoint—then validate the exact Rule 17a-4 configuration and regulatory undertaking requirements.
Healthcare:
Microsoft Purview or Mimecast are strong starting points; focus on HIPAA, legal holds, access controls, and whether the archive covers all required communications.
General regulated enterprise:
Microsoft Purview is usually the most economical if you're already deeply invested in Microsoft 365. A dedicated archive becomes more attractive when you need specialized supervision, heterogeneous mail systems, or highly regulator-focused workflows.
Very high regulatory risk:
I'd favor a dedicated compliance-archiving platform or a carefully validated Purview deployment rather than relying on ordinary Exchange archive mailboxes alone.
If you tell me your industry and whether you're on Microsoft 365, Google Workspace, or another mail platform, I can give you a much more specific top-3 recommendation with estimated cost, regulatory fit, implementation complexity, and a vendor comparison matrix.
